Switch from CRIO

Export four reports from CRIO Online, send them to us, and HorseBook loads your herd for you. You see a preview of what will load, and answer the few questions the export can't, before anything is written.

You don't retype your herd to move off CRIO Online (also sold as CRIO Equine Software). You export four reports to Excel and send them to us. We read them and send you back a preview: what will load, plus the few questions only you can answer. Your herd is loaded only after that.

1. Export four reports from CRIO

CRIO's reports export to Excel. Export these four:

  • My Horses, with every column turned on. This is the one we can't do without: it's your horses, their registrations, their sire and dam, and the rest of what you keep on each one. Turn on every column before you export, so nothing is left behind.
  • Herd breeding status. Where each mare stands this season: pregnant, served or open, and to which stallion.
  • Births. Your past foalings. If the report asks for a date range, pick the widest one so every year comes across.
  • Sold horses. The horses you've sold, so the mares and foals in your pedigrees still have a record behind them.

If you can only find My Horses, send that. The other three add breeding history, this season and sales, and anything missing from them simply isn't loaded.

CRIO may save the reports as older .xls files. If it does, open each one in Excel or Numbers and save it as .xlsx before you send it. If you can't, email the .xls files as they are and we'll convert them.

2. Send them

Email the four files to brian@horsebook.app.

If you see Import your herd on your Horses page, you can send them there instead, on the web or on iPhone: attach all four and tap Send. On the web, Coming from CRIO? on that page shows the same list of reports.

3. Check the preview

Before anything is written, you get a preview of what will load:

  • The counts: horses (active, sold and dead), mares, stallions and geldings, pedigree links (sire and dam), tags, pens, registrations, owner contacts, past foalings, and this season's covers and checks.
  • The questions only you can answer. Each one comes with a suggested answer:
    • Stallion or gelding? CRIO records a male as "M". We settle what we can from the export (his category, whether he sired anything in your files, a young colt). The rest we ask about.
    • Whose horses are these? For each owner name in your export: your own, a client's, or boarding.
    • Already in your account? A horse with the same name as one you already have can be the same horse or a different one. "Same horse" only fills in what's empty. It never overwrites what you've entered.
    • Keep these categories as tags? Each CRIO category becomes a tag you can filter by, or is left out.
    • Inactive horses. Horses CRIO marks inactive, but not sold or dead.
  • What won't come across, and any column that has no place of its own (that one goes into the horse's notes, and the preview says so).

If you sent them in the app, you get an email when the preview is ready, with a link to it. Open it on the web: answer the questions (or take the suggested answer for a whole group at once) and tap Approve and load. The button works once every question has an answer. Approving is done on the web, not in the iPhone app. Nothing is written until you approve it.

If you emailed them, we send you the same preview by email. Reply with your answers, and we load your herd once you have. Any question you leave unanswered takes its suggested answer.

Anything else you send with your CRIO files, like a spreadsheet of your own or photos of papers, goes in the usual way, without a preview. If something in it isn't clear, we email you a question first.

What comes across

  • Every horse. Sold horses are archived with a sale record, not dropped, so the pedigrees they're in still read. Horses CRIO marks dead are marked deceased.
  • Sire and dam, linked. When a horse's sire or dam is in your files too, the two are linked, so you can tap from one to the other. A parent who isn't in your files stays on the horse by name.
  • Registrations, with the registry, and passport numbers.
  • Your CRIO categories as tags, and recipient mares tagged Recip mare.
  • Premises and pens as locations.
  • Owner, breeder, vet and farrier as contacts.
  • Past foalings, one for each line in the births report that we can place: the mare is in your files and the line has its stallion, service date and foaling date. The preview lists any line we can't load, and why.
  • This season: a pregnant mare gets her cover and her positive check, from the dates the export has, and a served mare gets her cover. An open mare gets a note.
  • CRIO's comments and anything else without a place of its own go into the horse's notes, under "From your CRIO export" and the export's date.

If a horse is already in your account, we fill in only what's empty and never overwrite your entries. Sending the same files again adds only what's missing.

What doesn't

  • Photos and attachments. CRIO has no bulk export for them. Add papers and photos afterward with the scanner.
  • Health, farrier and lab history. CRIO's Excel reports don't carry it. Anything you send us separately goes in as notes or through the scanner.
  • Invoices, billing and recurring charges. They're not part of these four reports, and we don't load them.
