HorseBook ("we," "our," or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our mobile application and web dashboard (collectively, the "Service").

Information We Collect

Account Information

When you create an account, we collect your email address and password. You may optionally provide your name, barn name, location, and phone number.

Horse & Medical Data

You may store horse profiles, medical records (vaccinations, deworming, farrier visits, veterinary notes), husbandry records, reproduction data, expenses, and related information. This data is entered by you and stored on your behalf.

Documents

You may upload documents such as registration papers, Coggins tests, health certificates, and invoices. These files are stored securely and accessible only to your account.

Contact Information

You may store contact details for veterinarians, farriers, and other equine professionals associated with your horses.

Payment Information

Payment processing is handled by Stripe. We do not store your credit card numbers or bank account details on our servers. Stripe's privacy policy governs the handling of your payment information.

How We Use Your Information

  • To provide, maintain, and improve the Service
  • To process your subscription payments via Stripe
  • To enable AI-powered document analysis (see below)
  • To send transactional emails related to your account
  • To respond to your support requests
  • To comply with legal obligations

AI Document Analysis

HorseBook offers an optional AI-powered document analysis feature. When you use this feature, document content (including images of uploaded documents) is sent to Anthropic's Claude API for processing. This enables automatic extraction of data such as horse names, dates, and medical details from documents like Coggins tests and veterinary invoices.

Anthropic processes this data under their privacy policy. Per Anthropic's commercial API terms, data sent to their API is not used to train their models.

You can use HorseBook without the AI feature by entering data manually.

Hosting & Infrastructure

Your data is stored in Supabase (database and file storage) and served through Vercel (web hosting). Both services maintain SOC 2 compliance and encrypt data in transit and at rest. Our infrastructure is hosted in the United States.

Data Sharing

We do not sell your personal data. We share data only with the service providers necessary to operate HorseBook:

  • Supabase — Database hosting and file storage
  • Vercel — Web application hosting
  • Stripe — Payment processing
  • Anthropic — AI document analysis (only when you opt to use the feature)

Data Security

We implement industry-standard security measures including encryption in transit (TLS), encryption at rest, row-level security policies ensuring users can only access their own data, and secure authentication via Supabase Auth.

Your Rights

You have the right to:

  • Access — View all data stored in your account at any time through the app
  • Export — Request a copy of your data by contacting us
  • Correction — Edit your data at any time through the app
  • Deletion — Request deletion of your account and all associated data by contacting us
  • Portability — Receive your data in a structured, machine-readable format upon request

Data Retention

We retain your data for as long as your account is active. If you delete your account, we will delete your data within 30 days, except where required by law to retain it. Backups may contain your data for up to 90 days after deletion.

Children's Privacy

HorseBook is not intended for children under 13 years of age. We do not knowingly collect personal information from children under 13.

Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy on this page and updating the "Last updated" date. Your continued use of the Service after changes are posted constitutes acceptance of the updated policy.
